Managing a flat let by the room is not just a matter of adding up several rents. You have to track the payments for each room, organise shared costs and coordinate issues that can affect one person or the whole property.
At AlicanteStay we help you bring order to that day-to-day management in Alicante. We agree with you what you need to delegate and how you will receive the information, whether the flat is already occupied or you are preparing to let it.
A view of each room and of the property as a whole
To understand how the flat is performing you need to be able to drill down into each room without losing the overall picture. An outstanding payment and a water heater repair are different matters: they should be identified separately and not mixed into a single unexplained balance.
| Per room | Whole property |
|---|---|
| Agreed rent amount and due date. | Summary of payments received and amounts outstanding. |
| Occupancy status and notified dates. | Organisation of move-ins and move-outs. |
| Individual queries or issues. | Issues with the kitchen, bathrooms and shared areas. |
| Costs allocated on a documented basis. | Utilities and general running costs of the property. |
Payments, costs and communication without losing the detail
Tracking rent payments
We record the status of payments based on the information available and follow up outstanding amounts within the agreed service. We distinguish the expected rent from the rent actually received: having an occupied room does not mean the income has already been collected.
Shared costs
We organise items and supporting documents so that you can review the property’s costs. The split of utilities must follow the terms that apply to each tenancy. We do not apply an arbitrary split or treat a consumption cost as included if it has not been agreed.
Issues and maintenance
We centralise day-to-day communication and coordinate authorised work. If an issue requires a quote or a professional, that need is identified before it is mistaken for a task that has already been carried out. Shared areas need their own follow-up, because a breakdown can affect several people at once.
What we review before starting
- The number of rooms and the shared spaces in the flat.
- The occupancy situation and any dates already committed.
- The tasks you currently do and those you want to delegate.
- How rents, utilities and other costs are organised.
- The procedure for communicating and authorising work.
Then we put together a proposal: financial tracking, communications, coordination of issues and other agreed services. For the initial enquiry you do not need to send tenants’ personal documents.
Management suited to how the property is actually used
A room can meet different accommodation needs. We do not present holiday rental, mid-term rental (alquiler de temporada) and rental as a main residence as if they were interchangeable. Before advertising any type of let, you need to check that it matches the use and conditions of the property.
Nor do we promise that renting by the room will always produce a higher return than renting the whole flat. You have to consider costs, turnover and time spent, not just the advertised price.
How to assess your flat’s results
A useful review separates income received, amounts outstanding, utilities, maintenance and vacant periods. It should also distinguish ordinary costs from one-off work. That way you can compare periods in context and decide what to improve without treating all the money coming in as profit.
The scope of the tracking and the way this information is presented are set out in the proposal. We do not offer a generic profitability figure or an occupancy guarantee for any property.
Frequently asked questions
Can I hire management if some rooms are already occupied?
We can look at your case with the existing occupancy. First we need to understand the situation and the conditions that must be respected, and not change agreements without reviewing them.
Does it include getting paid even if the tenant does not pay?
No. Payment tracking is not a payment guarantee or an advance on rents. Additional services, if you take them out, need their own terms.
How much does room rental management cost?
The proposal depends on the number of rooms and the tasks to be delegated. Request a quote to find out the scope and fees. The holiday rental rate of 14 % + VAT does not apply automatically.
What if I want to manage the whole flat?
We also look at long-term rental management of whole properties in Alicante, with tracking of rents, costs and issues.
